About the Job

To facilitate the billing functions for the multi-site Distribution department by working closely with dispatchers, obtaining quotes from vendors, and managing department purchase order requests. Provide assistance to the Production department by tracking finished products and coordinating with customers to expedite completed orders.

 

Essential Functions & Major Responsibilities
  • Work closely with sales department personnel to obtain required supporting production, assembly, engineering, and dispatch documents.
  • Maintain accurate, complete, and orderly billing files with supporting documentation for audit purposes.
  • Upload various documents to a cloud-based network and SAP.
  • Solicit purchase third-party vendors.
  • Maintain data in current system accounts to support billing and accounting processes.
  • Responsible for processing daily delivery paperwork for multiple Texas sites.
  • Collaborating with different departments, and third-party vendors to resolve billing discrepancies.
  • Provide weekly reports for upper management regarding “ready to ship” inventory.
  • Respond to internal customer complaints, requests, and inquiries in a professional and timely manner.
  • Ability to develop billing tracker spreadsheets and appropriately modify formats and formulas.
  • Comprehensive knowledge of logistics billing processes.
  • Recommend and implement billing solutions using SAP to maximize efficiency and the accuracy of existing processes.
  • Assist with testing the accuracy of system modifications designed to accommodate billing solutions.
  • Follow all safety rules and report any unsafe conditions to the Leads or supervisors.
  • Read and follow work instructions, blueprints and drawings.
Knowledge, Skills & Abilities
  • Proficient administrative skills
  • SAP experience a plus
  • Billing / administrative accounting experience
  • Strong Customer Service
Education/Experience

High School diploma or general education degree (GED)
