About the Job

The Administrative Assistant tasks are to assist the manager of this department with various administrative duties and sales efforts.

Essential Functions & Major Responsibilities
  • Welcome clients and visitors to the office and assist them as needed
  • General administrative duties for the sales team such as file management, organizing, receptionist duties.
  • Assist with basic HR tasks as needed and assigned for onboarding and benefits
  • Maintain, sort and distribute department related information and mail, daily.
  • Prepare outgoing mail, faxes and packages
  • Ensure the office and other common areas remains orderly and uncluttered
  • Frequently check office supply stock; reorder supplies when needed
  • Track orders and maintain vendor relationships
  • Create and distribute customer production tickets daily.
  • Generate quotes and enter sales orders.
  • Complete and maintain a variety of reports as directed by the PSR or Sales Manager.
  • Utilize software tools to manage a variety of tasks such as quotes, orders, requisitions & drawings.
  • Assist in the implementation of operational projects as needed.
  • Communicate with management about operations and/or dispatch processes.
  • Assist with processing of payments and other financial tasks as necessary.
  • Communicate with customers about service issues as needed.
  • Communicate with employees about scheduling and work assignments as needed.
  • Assist in the sales effort by learning the equipment
  • Keep up with open orders, invoices, and deliveries
  • Point person with the accounting, marketing and purchasing department
  • Assist with project work as directed by Department Manager
  • Comply with all ParkUSA policies, procedures and guidelines
Knowledge, Skills & Abilities
  • Strong administrative and organizational skills with an attention to detail
  • Proficient in Microsoft Office
  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Ability to work effectively as a team member, establish and maintain cooperative working relationships
  • Ability to self-manage and multitask
  • Ability to learn new programs
  • Possess a positive attitude and a strong work ethic
Education/Experience
  • High school graduate or equivalent
  • 1+ years related experience
  • Experience working in Salesforce and SAP preferred
  • Construction Industry preferred
